  Mile Manager Client Handling

As mentioned in the application overview, Mile Manager combines several of the features of a personal information manager, with mileage and trip management capabilities.  The application's Clients and Locations Cabinet automatically begins and keeps client and place visitation histories, for each person or place that you mention in any of your appointment records or your special trip records.  

This ability to remember and manage client and place records for you, which proceeds largely in the background of the application while you enter and manipulate other records (e.g. trips, appointments), provides functional dividends to you, both when you enter data, and when retrieving data.

Data Entry

When entering a new trip or appointment, you can use flexible pattern matching functions, in the client and company name fields of new appointment and new trip entry templates.  You simply type a few characters of a person or place name, and click on a drop-down list, to see all matching people or places already "known" to the database.  If you see the match you want, click on it, and all the relevant fields (name, address, phone number, company name and title, etc.) of your new trip or new appointment record will be instantly filled-in for you.  

All that remains is to fill in the date, time, and any other pieces of information you need, and the new trip or appointment record can be created for you.  This can avoid an enormous amount of repetitive typing, and greatly speed up the entry of appointment and trip records for places or people that are already known to your database.

Retrieving Data

Accessing all or part of the visitation history for a selected client or location, is as simple as double-clicking on that person or place name, in the Clients and Locations Cabinet.   And, this cabinet provides a number of ways to find and list your client or place master records themselves (in addition to accessing the visitation histories for these master client and place records.)

It is assumed that many users will accumulate a large number of these client and place records, over time, so Mile Manager lets you can search among these master records very easily, to quickly find the client and location records that are of interest to you.  You can search by client name, searche by place or company name, and searche by date of last visit.

Using these searches, you can generally call up the client or place master record of interest, in just a couple of mouse clicks (here again, pattern matching is provided, for client and place names.)  The master record you see, will contain summary data for your client or place, including the number of appointments on record, the number of billable trips filed, and the date of last visit.  

Then, if you double-click on this master record itself, you can access the complete visitation history for that client or place, through pop-up appointment and trip lists. You can also use the built-in phone dialer, to dial this client or place directly from this cabinet. 

You will find this collection of searching and quick lookup functions to be an extremely fast and convenient way to navigate and move through your database, whether you have just a few dozen clients, appointments and trips on file, or several hundred.
